More useful than a longer feature list: fewer details to maintain.

A service anniversary. An office that keeps its own employee records. A part-time contract agreed for next month. These are the situations worth testing in both systems.

When service milestones arrive

Let long-service allowances look after themselves.

Reward long service without keeping a second list of anniversaries and allowance changes.

Set a base allowance and service bands. TimeOff uses the employee’s start date to move them into the relevant band automatically. Only the latest applicable band is added—not every band passed along the way.

In this example, Lara’s 25 base days become 26 just after her second anniversary and 28 just after her fifth. The bands are set in days since she started. Change the preview date to see each band take effect.

Explore tenure-based allowances

A milestone, not another manual adjustment

Illustrative example
Lara Wilson Start of employment · 1 October 2021 Automatic bands
  • From joining 25 days Base allowance
  • More than 730 days +1 day 26 days in total
  • More than 1,826 days +3 days 28 days in total

The 1,826-day band now applies.

Allowance for the year 28 days

25 base days + 3 from the latest band = 28 days.

Illustrative company policy. Only the latest band applies; bands are not added together. Thresholds are set in days since employment started. No booked leave, carry-over or adjustments are modelled here.

The policy moves with the employee’s length of service.

Share the record-keeping

Delegate employee records. Keep leave approval separate.

Let a local office maintain its own employee records without giving anyone there approval over leave.

Give a nominated employee permission to view, edit or delete existing employee records—in any combination—for chosen employees, departments or locations, and, if you choose, to add new employees. The role never grants leave-approval rights.

Here, an office coordinator can view and edit London records. Bristol stays outside the selected scope. Creating or deleting employees is not part of this example role.

Explore employee management roles

A local role with a defined scope

Illustrative example
Office coordinator Example role · configured by an administrator
  • View existing records in scope Allowed
  • Edit existing records in scope Allowed
  • Create or delete employees Not granted
  • Approve leave through this role Not granted
View and edit allowed

Helen’s existing record is in London, matching this role’s scope.

Local permission preview only. It changes no employee record. Any separate manager relationship would still govern leave approval.

Record administration and leave approval are different responsibilities.

Prepare changes before they happen

New hours next month? Set the change up now.

Set next month’s working pattern without changing this month’s.

Add a new dated schedule when a change is agreed. Leave before its start date follows the earlier pattern; leave after it follows the new one.

Jordan will move from Monday–Friday to Monday, Wednesday and Friday on 2 November. Both patterns can be saved ahead of time. Try dates before, after or across the change.

The schedule controls leave usage, not entitlement. Review any allowance change separately.

Explore dated working patterns

One employee. Two dated working patterns.

Illustrative example
Jordan Lee Working-pattern change agreed in advance
Through 1 November Monday–Friday 8 hours each working day
From 2 November Mon · Wed · Fri 8 hours each working day
  1. Mon 2 Nov 8h work New pattern
  2. Tue 3 Nov Off New pattern
  3. Wed 4 Nov 8h work New pattern
  4. Thu 5 Nov Off New pattern
  5. Fri 6 Nov 8h work New pattern
Leave used 3 days

3 working days × 8 hours = 24 hours, or 3 days. The new pattern applies.

Two saved patterns, applied by date. Eight-hour standard day; no bank holidays in this example. This estimates a new request’s usage, not an annual allowance.

The effective date decides which working pattern applies.

Leave Dates offers native mobile apps, daily Slack summaries on Essential and Plus, and Zapier and webhooks on Plus. Those can matter if they are central to how your team works.

Common questions

Comparing TimeOff and Leave Dates

Is TimeOff a like-for-like replacement for Leave Dates?

Both are dedicated leave-management tools. According to its pricing page (checked 2 October 2026), every Leave Dates plan covers requests and approvals, allowances, custom leave types, a shared calendar, carry-over, days or hours, bank holidays and reports, as TimeOff does. They differ in the details: TimeOff adds service bands automatically, delegates employee records by scope and holds dated schedules in advance, with every feature in one plan. Leave Dates offers native mobile apps and, on its higher plans, Slack, Zapier and webhooks.

Does TimeOff add long-service days automatically?

Yes. A tenure-based allowance policy sets bands by the number of days since an employee’s start date. Once someone passes a band, TimeOff adds its extra days to their allowance for the year. Only the latest band applies, so bands are not added together.

Can someone maintain employee records without approving leave?

Yes. An employee management role grants any combination of viewing, editing and deleting existing employee records for chosen employees, departments or locations, and can also let someone add new employees. It grants no approval rights over anyone’s leave: approvals keep following the manager relationships.

Can I set up a working-pattern change before it starts?

Yes. Add the new schedule with the date it takes effect. Leave before that date follows the earlier pattern and leave from it follows the new one, so an employee can hold more than one dated schedule at a time.

How does TimeOff’s pricing compare with Leave Dates’?

TimeOff is £1 per user per month with every feature included, billed on the number of employees in the system on the last day of your billing month. According to its pricing page (checked 2 October 2026), Leave Dates sells three plans priced per user per month, with 25% off when paid yearly; time off in lieu and calendar sync start on Essential, and SSO and API access are on Plus. Compare the plan your team would need.

Does TimeOff have native mobile apps, or Slack and Zapier integrations?

No. TimeOff is a mobile-friendly web app rather than a native app, and it has no Slack, Zapier or webhook integration. It provides calendar feeds, sign-in with Google or Microsoft and a read-only reports API. According to its pricing page (checked 2 October 2026), Leave Dates offers native iOS and Android apps on every plan.
