How do I sync TimeOff.Management with Google Calendar or Outlook?

You can subscribe to your TimeOff.Management leave calendar in Google Calendar or Outlook using an iCal calendar feed.

This is a one-way subscription: leave updates flow from TimeOff.Management to your external calendar. Leave requests and changes should still be made in TimeOff.Management.

Get your calendar feed

Go to:

My Profile → Calendar Feeds

Depending on your permissions, you may be able to create:

  • My Calendar — your own leave;
  • My Team View — leave you can see in Team View;
  • Custom Feed — a calendar feed containing leave from the departments you select.

Choose the feed you want and select Copy URL.

Each calendar feed URL is unique to you, so keep it private.

Add the feed to Google Calendar

On a computer, open Google Calendar in your web browser.

Then:

  1. Find Other calendars.
  2. Select + → From URL.
  3. Paste your TimeOff calendar feed URL.
  4. Select Add calendar.

Add the feed to Outlook

In Outlook.com or Outlook on the web:

  1. Select Add calendar.
  2. Choose Subscribe from web.
  3. Paste your TimeOff calendar feed URL.
  4. Select Import.

Make sure you subscribe using the URL rather than downloading and uploading an .ics file. An imported file is only a snapshot and will not receive future leave updates.

Why do leave entries show as “Busy”?

By default, leave can appear as Busy rather than showing the leave type.

Your TimeOff administrator can control whether calendar feeds include:

  • leave type names;
  • public holidays;
  • blackout dates and company events.

These options are managed in Settings → Advanced Settings → Calendar Feeds.

Why aren’t changes appearing immediately?

Google Calendar, Outlook and other calendar services decide how frequently subscribed calendars are refreshed.

Changes made in TimeOff.Management may therefore take some time to appear in your external calendar.
