Some leave types only apply in one country, office or operational team. A Leave Access policy grants a set of leave types to the employees, departments or locations you choose, so booking forms stay short and relevant.

  • Location-specific leave types for local statutory leave, or a policy that only applies in one country.
  • Assign by employee, department or location — a policy covers whoever you point it at, and new joiners in that location are picked up automatically.
  • Policies add up, so someone covered by two of them gets every leave type the two grant between them.

Can different offices have different public holidays?
Yes. Public holidays are held per location and per year. Set a country on each location and TimeOff can import that country's list for the year you pick, after which the list is yours to edit — correct a name, move a replacement date, add a regional holiday, remove one that does not apply to your company. Half-day public holidays are supported where you close for part of the day. Employees follow the calendar of the location they are assigned to, so review each list before the new year starts rather than assuming every national holiday applies.
What is the difference between a location and a department?
A department is the employee's team or business function; a location is where they work, or which regional rules apply to them. Someone can be in the Sales department and the London location at the same time. Both can filter Team View and reports, and most policies can be assigned by either — so you can give one office its own public holidays and one department its own leave types without the two settings interfering.
Can a leave type be available in only one country or office?
Yes, using a Leave Access policy. A policy groups the leave types you choose and assigns them to selected employees, departments or locations, and anyone added to a covered department or location is picked up automatically. Two things are worth knowing before you adopt policies. Once you use them, creating a leave type no longer reaches the people a policy covers — it has to be added to the relevant policy as a second step. And a new department or location is not covered automatically; somebody has to add it to the policy that should apply there.
Can a manager be limited to the people in their own office?
Yes. An employee management role grants view, add, edit or delete rights over a selected group of people without granting full admin rights, and the group can be defined by location as well as by department or by named employees. A local manager can then manage the staff in their own locations and nobody else's. Team View visibility is a separate control: a Team view visibility group can cover a whole location so that everyone working there sees each other, on top of whatever the company-wide Team View setting already allows.
What languages is TimeOff.Management available in?
Ten: English, French, Spanish, Portuguese, German, Polish, Italian, Hungarian, Ukrainian and Bulgarian. It is a personal setting rather than a company one — each person picks their language in My Profile, and it also sits on their employee record so an administrator can set it for them. An office screen has its own language too, which does not have to match yours: a Madrid office screen can run in Spanish while you work in English.
Can a blackout period or company event apply to one location only?
Yes. Both can be limited to selected locations, departments or employees, or applied to the whole company. The difference is what they do: a blackout stops employees booking leave during those dates, while a company event only appears on the calendar. So a stocktake week can close bookings for one warehouse while a training day simply shows up for one office. An administrator can still book leave manually during a blackout when an exception has been agreed.
What happens when someone moves to another location?
Change the location on their employee record, then check what the move changes: public holidays, leave type access, company events, blackout periods, Team View visibility, reports and manager access can all differ between locations. Existing leave requests are worth reviewing too, if the new location follows a different public holiday calendar. If an employee ever sees calendar information that looks wrong, their assigned location is the first thing to check.
