Can administrators or managers override leave policies and restrictions?
Sometimes, but there is no single override that bypasses every TimeOff.Management rule.
Different restrictions handle exceptions differently. Administrators have broader permissions, while managers can only override certain rules when the relevant setting allows it and they are acting for an employee they manage.
Which restrictions can be overridden?
| Restriction | Administrator | Manager |
|---|---|---|
| Advance Notice | Can add leave on an employee’s behalf without meeting the notice period | Can do the same for an employee they are authorised to manage |
| Blackout dates | Can add leave on behalf of an employee when an exception is needed | Can do so only if manager exceptions are enabled; not for their own leave |
| Restrict leave overlap | Can go past a blocking limit | Can go past it only when Managers can go past the limit is enabled, and only for an employee they manage |
| Blocked leave type | Can still use the leave type when adding leave on behalf of an employee | May be able to use it if the company allows managers to book disabled leave types |
| Main allowance balance | Not automatically bypassed | Not automatically bypassed |
| Leave type limit | Not automatically bypassed | Not automatically bypassed |
What if the employee does not have enough allowance?
This is not treated as a general admin or manager override.
If an approved exception should allow the employee’s main allowance to go below zero, use Negative allowance.
If the employee needs to go above the limit for a particular leave type, use Exceed Leave Type Limits.
These are controlled settings rather than something a manager can simply ignore while approving a request.
Why are the rules different?
The restrictions solve different problems.
For example:
- Advance Notice controls when employees can submit their own requests, so an authorised manager can still record an agreed last-minute absence.
- Restrict leave overlap protects staffing levels, so manager exceptions have to be explicitly allowed.
- Negative allowance changes how much leave an employee is permitted to use, so it is configured separately rather than being an approval override.
This lets you allow genuine exceptions without weakening the underlying rule for everyone.
Does an override automatically approve the leave?
Not necessarily.
Being allowed to add leave that would normally be restricted is separate from whether that leave requires approval.
Unless an applicable Auto-approval policy applies, the leave can still follow its normal approval route.
