Why does an employee's remaining holiday allowance look wrong?

1 min read By TimeOff Support

An employee’s remaining allowance can be affected by several parts of their setup, so it is best to check the allowance breakdown before making a manual correction.

Go to:

Employees → Select employee → Allowance

Check that you are looking at the correct leave year and whether the company uses a company-wide leave year or Each employee’s employment anniversary.

What should I check?

Check the employee’s:

  • department allowance, unless replaced by an individual allowance or accrual schedule;
  • accrual schedule, if allowance is earned gradually;
  • Tenure Based Allowance, if extra entitlement is added according to length of service;
  • Start of Employment date and any pro-rata calculation;
  • leave-year basis — company year or employment anniversary;
  • Work Schedule or Rota and Standard day length;
  • assigned location and public holidays;
  • carried-over allowance;
  • manual allowance adjustments;
  • pending and approved leave requests;
  • leave types and whether they deduct from, add to, or have no effect on allowance.

The employee’s allowance breakdown can help show where the current balance has come from.

Why can the booked amount be different from the number of calendar days?

TimeOff.Management calculates leave using the employee’s actual working pattern and applicable public holidays.

Non-working days are not treated like scheduled working days, and partial-day bookings can use only part of a day depending on the applicable Standard day length.

This means a request spanning several calendar dates does not necessarily deduct the same number of days from allowance.

Should I add a manual adjustment?

Only after you have checked why the balance is different.

If the underlying schedule, allowance, location, leave type or policy is incorrect, fix that setup first.

Use an Allowance adjustment for a genuine one-off correction rather than to compensate for an incorrect configuration.
