How do I set up holiday allowance for part-time employees?

Part-time employees need two things set correctly: their holiday allowance and their Work Schedule.

The allowance determines how much holiday they receive, while the Work Schedule determines which working days and hours are deducted when they book leave.

Set the correct holiday allowance

If a part-time employee has a different entitlement from the rest of their department, you can set an individual allowance for that employee.

Go to the employee’s profile and enter their agreed holiday entitlement. This overrides the standard department allowance for that employee.

Set the employee’s Work Schedule

The Work Schedule should reflect the days and hours the employee normally works.

For example:

If the employee requests Monday to Friday as holiday, TimeOff.Management deducts only the 3 days they were scheduled to work.

Thursday and Friday are not deducted because they are non-working days.

What if the employee works shorter days?

Check the employee’s Standard day length as well as their scheduled hours.

For example, with an 8-hour Standard day:

  • 8 scheduled hours = 1 day
  • 4 scheduled hours = 0.5 day

You can also customise the Standard day length for individual days where the employee’s working pattern requires it.

What if their working pattern changes?

Create a new Work Schedule with the appropriate start date rather than changing their historical schedule.

For employees working a repeating or rotating pattern, use a Rota instead of a standard weekly schedule.

The employee’s allowance controls how much leave they have, while their Work Schedule controls how much is used when they book it.
