How do I manually adjust an employee's allowance?

Use an Allowance adjustment when you need to make a one-off change to an employee’s holiday or PTO balance.

This is useful for corrections, additional leave, TOIL or other individual adjustments.

How do I add an allowance adjustment?

Go to:

Employee Details → Allowance → Allowance adjustment

Check that you are viewing the correct allowance year before adding the adjustment.

Enter the adjustment amount and add a short comment explaining why the balance is being changed.

  • Use a positive adjustment to add allowance.
  • Use a negative adjustment to remove allowance.

When the amount and reason are correct, select Add adjustment.

When should I use an allowance adjustment?

Manual adjustments are best for one-off changes, for example:

  • adding 1 day of TOIL;
  • correcting an incorrect balance;
  • adding extra leave agreed by HR;
  • removing allowance that was added by mistake.

The adjustment is recorded in the employee’s allowance history, so adding a clear comment makes it easier to understand later.

Should I use an adjustment to change an employee’s normal entitlement?

Usually, no.

If the employee should receive a different fixed allowance every year, use an individual allowance instead.

If leave is earned gradually or changes according to length of service, use the appropriate allowance policy rather than making repeated manual adjustments.
