How do I add historical leave records?
You can add historical leave in the same way as any other leave you record on behalf of an employee.
There is no separate historical-leave mode.
How do I add past leave?
Select Add leave, then:
- Choose the employee.
- Select the correct leave type.
- Enter the original past date or date range.
- Choose the correct duration.
- Add a comment if useful.
- Submit the leave.
For example, you can use this to enter:
- holiday taken before you started using TimeOff.Management;
- sickness that was recorded elsewhere;
- a previously missed absence;
- historic leave while setting up a new employee’s records.
Will historical leave affect the employee’s allowance?
Yes, if the selected leave type is configured to deduct from allowance.
Use the actual dates the leave was taken so the record is associated with the correct period and employee working pattern.
Before adding a large amount of historical leave, it is worth checking the employee’s Work Schedule, allowance setup and leave type settings first.
Can I add historical leave without sending an email?
Administrators can control this when adding leave on behalf of an employee.
On the Add leave form, use Email notifications:
- On — the people affected by the leave are notified;
- Off — no email notification is sent for that leave.
This can be useful when entering old records that the employee already knows about.
Managers who are not administrators do not have this notification switch, so the employee is notified when they add leave on their behalf.
Does historical leave need approval?
Adding a past date does not by itself bypass your approval setup.
The leave may be approved immediately or follow the normal approval route depending on your company’s Auto-approval policies and the person adding it.
