How do I correct an incorrect carried-over holiday balance?

1 min read By TimeOff Support

If an employee’s carried-over balance is incorrect, first check which allowance year contains the error and why the balance changed.

Common causes include late leave requests, cancelled leave or an incorrect amount being carried over at year end.

Check the carry-over record

Open the employee’s allowance for both the previous and current leave years.

After carry over:

  • the previous year contains an allowance adjustment showing the transfer;
  • the new year contains a Carried Over amount.

The original carry-over transaction remains recorded. If you need to correct the employee’s available balance afterwards, the correction is shown separately as an Allowance adjustment.

How do I correct the balance?

Go to:

Employees → Select employee → Allowance → Allowance adjustment

Make sure you are viewing the correct allowance year.

Enter a positive adjustment to add allowance or a negative adjustment to remove allowance, add a clear comment explaining the correction, then select Add adjustment.

For example, if an employee received 3 carried-over days but was entitled to carry over only 2, subtract 1 day from the new year’s allowance.

If that 1 day should instead remain available in the previous year, check whether a matching +1 day adjustment is also needed in the previous year’s allowance.

What if leave changed after carry over was completed?

Sometimes leave is added or changed in the previous year after carry over has already been processed.

In this case, you may need to correct both years.

For example, if 3 days were carried over and the employee later needs to use 1 of those days in the previous year:

  1. Add 1 day back to the previous year’s allowance so the leave can be recorded.
  2. Add a -1 day adjustment to the new year’s allowance.
  3. Add a clear comment to both adjustments.

This keeps the employee’s total entitlement correct across both years while preserving the original carry-over record.
