How do I control who can see other employees' leave?

1 min read By TimeOff Support

Use Team View visibility to control who can see other employees’ leave, then use privacy settings to control how much detail they can see.

Choose who can access Team View

Go to:

General Settings → Edit → Team View visibility

Choose the company-wide baseline that fits your organisation:

SettingWho can see Team View
Admins onlyOnly administrators
Admins and SupervisorsAdministrators see the company; supervisors see employees they manage
Department membersEmployees see colleagues in their own department; supervisors also see employees they manage, and administrators see everyone. This is the default.
Everyone sees everyoneAll employees can see the company-wide Team View

Can I give selected employees wider access?

Yes. Employee policies can extend the company-wide baseline without making more leave visible to everyone.

A Team view visibility group can let selected teams or departments see each other across normal department boundaries.

A Company Leave Data View policy can give selected employees, such as HR staff or a coordinator, access to Team View and employee calendars across departments.

Can I hide the reason someone is away?

Yes. Who can see an absence and what details they see are separate controls.

In General Settings, enable Hide Leave Type Details on Team View to hide leave reasons from employees who already have access to Team View. They can still see that a colleague is away. This setting does not grant access or change whose absences they can see.

For individual leave types, you can also use:

  • Obfuscate on Team View — non-supervisor employees see the absence as a generic Leave.
  • Hide from Team View — non-supervisor employees do not see that leave entry at all.

Authorised managers and administrators can still see the real leave details where their permissions allow.
