Can I set different leave overlap limits by location or department?

Yes. You can create separate Restrict leave overlap rules for different locations, departments or groups of employees.

This allows each part of your organisation to have its own staffing requirements.

Example: different limits by location

For example, you could create:

• London office — maximum three employees away at once
• Manchester office — maximum two employees away at once
• Warehouse — at least six employees must remain available

Each restriction is configured separately and applied only to the relevant employees.

How do I set this up?

Go to:

Settings → Employee policies → Restrict leave overlap

Create a restriction and select the employees it should apply to. You can build the group using:

• locations;
• departments;
• selected employees;
• employee tags.

Set the required maximum number absent or minimum number present.

Then choose how the rule should be enforced:

• Block the booking — prevents requests that would exceed the limit.
• Allow the booking and record a warning — allows the request to continue but records a warning.

Save the restriction, then create additional rules for other locations or departments where different staffing limits are required.

Can an employee be in more than one restriction group?

Yes. An employee can belong to more than one restriction group, and each group’s rule applies.

For example, an employee could be covered by both a London office restriction and a Customer Support department restriction.

The department rule does not override the location rule. Each group’s rule is applied with the enforcement setting chosen for that group, so only a group set to Block the booking can refuse the request.

Can I use this for teams within the same location?

Yes. The restriction does not have to cover an entire location.

For example, your London office could have separate limits for Customer Support, Sales and Operations if each team requires different staffing levels.
